Understanding Sugar Market's Recycle Bin Function

Overview

When using Sugar Market with an external CRM, the Sugar Market Recycle Bin functionality determines which records have been deleted from your external CRM1

Benefit of Using the Recycle Bin

The Recycle Bin is automatically installed when you install the Sugar Market bundle1. It operates by storing data in a log, adding the contact record IDs into the log when records are deleted from your external CRM. During your regular sync cycle, this log gets synced down and Sugar Market searches the database for the IDs contained in the log. If the Recycle Bin function is enabled, then the records that match the IDs in the log are deleted from Sugar Market's internal CRM.

Without the Recycle Bin, Sugar Market cannot determine which records were deleted from your external CRM. If you do not have the Recycle Bin feature enabled or otherwise cannot use the Recycle Bin, then you will need to manually delete records from your Sugar Market database after deleting them from your external CRM. Note: Records in the Recycle Bin are considered "soft deleted", and therefore do not count toward your total contact count

Enabling the Recycle Bin

Although the Recycle Bin is installed with the Sugar Market bundle1, you need to enable the feature in your Sugar Market settings.

To enable the Recycle Bin:

  1. From the user menu, click "Admin".
  2. In the CRM Administrator section, within the External Connectors tab, click "SugarCRM Settings".

  3. In the Database Integrity section, select the checkbox for the Recycle Bin, along with any defining criteria options. The following shows the options for SugarCRM, but each CRM type has different options. Salesforce integrations do not have any Recycle Bin settings here, but the functionality is automatically enabled.

How the Recycle Bin Handles Duplicates

If duplicate records are merged in your external CRM, the recycle bin deletes the record that was deleted in the merge on the CRM side.

Retroactivity in the Recycle Bin

If you enable the Recycle Bin after a period of time without it enabled in your CRM settings, the Recycle Bin will work retroactively, pulling record IDs for all records deleted from your external CRM from the time you installed Sugar Market.
