Legacy Sugar Mobile for Android User Guide
Overview
Legacy Sugar Mobile for Android enables users to access Sugar Ultimate 6.2.0, Sugar Enterprise 6.2.0, Sugar Corporate 6.2.0, and Sugar Professional 6.2.0 from their Android phones to manage daily activities and access data.Downloading Sugar Mobile for Android
You can download Sugar Mobile from the Android Market.
Follow the steps listed below to download and run the Sugar Mobile application on your Android phone:
- Search for Sugar Mobile in the Android Market and install it on your Android phone.
- Tap the Sugar Mobile icon to run the application.
- Enter your Sugar username, password, and the URL for your Sugar instance. Be sure to include the "http" portion of your instance's URL starting with a lower-cased "h".
- Tap Login to access the application.
Understanding the Sugar Mobile Home screen
The Sugar Mobile Home page displays Sugar modules and options, listed below, along the top of your Android screen. Swipe the screen to view additional modules.
Modules: Tap this option to navigate back to the list of Sugar modules from another screen.
Quick View: Tap this option to view your most recently accessed records and your current activities.
Search: Tap this option to perform a global search for Sugar records across modules. This feature supports all modules that Global Search supports in the Sugar application.
About: Tap this option to view your username, password and Sugar URL, or version number, release information of your Sugar Mobile for Android application, depending on which option - Settings or About is highlighted.
You will also see the following options when you tap the Menu option of your phone:
Logout: Logs you out of the application.
Cancel Changes: Resets the username and/or password entered while on the About page to the last saved working entry. This is useful if you accidentally made changes to the username and/or password.
Sync Users/Teams: Manually re-syncs the users and team list from the SugarCRM server.
Accessing Sugar Modules
By default, you can access the standard Sugar modules listed below from the Sugar Mobile for Android.
- Accounts
- Contacts
- Leads
- Opportunities
- Cases
- Calls
- Tasks
- Meetings
- Employees
- Reports
- Import
However, the administrator can enable or disable access to other standard or custom modules.
The Modules screen displays Sugar modules. You can view, create, edit, and delete records in the modules in Sugar Mobile. You can view all records that are assigned to you, your team, and your direct reports. In the Employees module, users can view records; administrators can create and manage records.
Note: Sugar Mobile for Android checks for server modifications to layouts and languages every 48 hours, and updates automatically if the phone is connected over wi-fi. For phones connected over 3G or anything slower, prompts display asking users if they want to download the changes.
Viewing and managing Sugar records
- To access the List View of a module, tap the module's icon. By default, only records assigned to you are listed. Records in the List View are sorted according to the Sort order that you have in the module's List View in the Sugar server application.
- To view a record's details, tap the record in List View.
- To edit a field in a record, tap the field. Depending on the field type, you can use the pop-up keypad to enter information, or you can select a preset value.
- To cut, copy, or paste field values, tap the field and maintain contact for a few seconds. The screen displays the Edit text pop-up menu with Select All, Select text, Cut all, Copy all, and Paste options. Make relevant selections from the Edit text box.
- To save a record after editing or creating it, tap the Menu option on your Android phone and tap Save Record.
- To view related records, tap the Menu option on your Android phone and tap View Related. Tap on an individual record to see the record's Detail View. Note: Attachments within notes are not available within Sugar Mobile.
- To navigate back to the primary record, tap the Back option on your Android phone.
- To search for records within a module or across modules, with or without using filters, see Using Search.
- To email a contact, click the icon next to the email address field.The native Android email application will be used to send the email. Within the Android email application, enter the subject and message, and click Send.
- To call a contact from within a record, click the icon next to the Phone field. To log the call, tap the Log Call option that displays below. When you log a call, a new Sugar record for the call and is related to the record from which the call was made. If you do not want to log the call, tap the Do Not Log Call option.
- To locate a street address on a map, tap the icon located next to the Address field. The native Android map application will be used to view the location.
- To navigate to a website, tap the icon located next to the Website field.
Creating Sugar records
- Tap the module that you want to access in the Modules list.
This displays the module's List View. - Tap the Menu option of your Android phone.
This displays options such as Search Filter, Refresh, and Create New. - Tap the Create New option.
This displays a new blank record with manadatory fields filled in with blue. - Tap the field in which you want to enter information.
If you enter an invalid value, the field turns red and the following warning message is displayed: Warning Invalid values found.
Note: You can only assign the primary team to a record in Sugar Mobile. You can assign additional teams to the record in the Sugar application. - Tap the Menu option on your Android phone and tap Save Record.
Using Quick View
Quick View displays records that you last viewed in Sugar, as well as your current activities.
Follow the steps listed below to use Quick View:
- Tap the Quick View button located on the menu bar on the top of the screen.
By default, this displays a list of Sugar records that you last accessed. - Click the Menu option on your phone.
This displays the following options:
Last Viewed: Tap this option to view Sugar records that you last accessed.
Open Activities: Tap this option to view your activities that meet the following criteria:
Calls and Meetings with a status of Planned and a Start Date that has not yet passed.
Tasks with the status of Not Started and a Due Date that has not yet passed.
Opportunities for which the Expected Close Date has not passed. - To view a record on the Last Viewed list, tap it.
You can view related records, and perform other actions to manage the record as described in Accessing Sugar Modules. - To go back to Quick View, tap the Back button of your Android phone.
- To refresh the screen, tap the Refresh icon in your phone's Menu bar. The Refresh icon is available in the Menu options in any List View.
Using Search
You can search for records within a module or across all modules. You can also search for records that you have previously identified as a Favorite.
Follow the steps listed below to search for records within a module (without using filters):
- Tap the module to select it from the Modules List.
This displays the List View with a Search field above it. - Enter a letter or a keyword in the search field.
- Tap ENTER on your phone's keyboard.
This displays the search results. - Tap on a record to view its Detail View page.
Follow the steps listed below to search for records within a module (with filters):
- Tap the module to select it from the Modules List.
This displays the List View with a Search field above it. - Tap the Menu option on your phone and tap Search Filter.
This displays the available search filters. - Tap My Items to limit the search to records assigned to you; tap All Items to find all records that match your criteria; tap Favorites to limit the search to items previously identified as My Favorite.
Follow the steps listed below to search for records across modules (without using filters):
- Tap the Search icon on the Menu bar located across the top of your screen.
- Enter a letter or a keyword in the search field located under the Menu bar.
- Tap ENTER on your phone's keyboard.
This displays your search results. - Tap on a record in the List View to access its Detail View.

- Tap the Menu option on your phone and tap Search Filter.
This displays the available search filters. Tap My Items to limit the search to records assigned to you; tap All Items to find all records that match your criteria.
Emailing Reports and Quotes
You can email reports and quotes from Sugar Mobile using your Android phone's native email client. Quotes module is not enabled out of the box for Sugar Mobile. You will need to request your system administrator to enable this as one of the displayed modules for Sugar Mobile.
Follow the steps listed below to send Reports using your phone's email client:
- Tap the Reports module on your Sugar Mobile Home screen.
This displays a list of all the reports that you have access to. - Tap on a report name to view its details like name of the report, who it is assigned to and which teams can view it.
- Tap your phone's Menu option and tap Email Report.
This retrieves the file and then displays fields that you need to populate to email the report using your phone's email client. - Input data in the To and Compose mail text boxes and tap Send.
Follow the steps listed below to send Quotes using your phone's email client:
- Tap the Quotes module icon on your Sugar Mobile home page.
This displays the Quotes List View. - Tap a Quotes record to see its Detail View.
- Tap the Menu option on your phone and then tap the Email PDF option in the Menu.
This displays the Select PDF Format window with Invoice and Quote options with Quote being automatically selected. - Tap OK.
This retrieves the file and displays an email message screen. - Populate the To and Compose Mail text boxes with relevant information and tap Send.
Administering Sugar Mobile for Android
As a Sugar administrator, you can configure Sugar Mobile for Android to display modules of your choice, change layouts, and so on. For more information on enabling modules for use in the application, refer to the System documentation. Administrators can also configure views for each module. For more information on configuring mobile layouts, refer to the Studio documentation.
Note: To view configuration changes in Sugar Mobile for Android, you must synchronize it with Sugar by logging out of Sugar Mobile for Android and logging in again.
