Previewing Related Records on Record Views

Overview

When viewing a record in Sugar®, it is often useful to see additional data from related records without having to leave the current view. This article will walk through displaying related account information using a contextual List View dashlet in the opportunity record view's intelligence pane as an example. For more information on configuring dashboards and dashlets from a record view's intelligence pane, refer to the Dashboards and Dashlets documentation.

Each user's license type and role determines what functionality is available as described in the License Type Matrix documentation. The Opportunities module used as an example in this article is not available for Sugar Serve users, but previewing related records via the record view's intelligence pane works similarly for many other modules. If you are a Sugar Sell, Sugar Serve, or an Enterprise user, you can follow the steps below or utilize the other options available to view related record information on record views.

Steps to Complete

The following steps will walk through adding a contextual List View dashlet to the intelligence pane of the Opportunity record view:

  1. Navigate to the record view of any opportunity and, if necessary, click the double arrow icon on the upper right of the page to reveal the intelligence pane.
  2. To add a new dashlet, click the floating actions button in the intelligence pane then select "Add Dashlet".
    Note: Shared dashboards can only be edited by its Assigned To user and system admin users. If you wish to add the List View dashlet to a personal dashboard, you will need to create a new dashboard or duplicate the shared dashboard.

  3. In the Add a Dashlet page, click "List View" from the available dashlet types.
  4. On the List View dashlet's configuration screen, select the type of record you would like to display from the Module dropdown. For this example, we will choose "Accounts".
    Note: The dashlet's title automatically populates with "My Accounts" after choosing the Accounts module, and the Columns field updates to display all available fields for the Accounts list view.

  5. Click the "x" next to the My Accounts filter to ensure that accounts assigned to other users will also be visible in the dashlet.
  6. To make this dashlet context sensitive to the current opportunity record you are viewing, select the box titled "Relate to current record".

  7. Complete the dashlet configuration by entering a descriptive title and choosing the desired display columns. Click "Save" to preserve the dashlet's settings.

  8. The new List View dashlet will now appear in your dashboard. If desired, rearrange the dashlet on the dashboard per your viewing preference. Click "Save" at the top right of the dashboard to preserve your changes.

Application

After completing these steps, you will see pertinent account information in the record view's intelligence pane when reviewing a sales opportunity. You can adjust these steps for creating a contextual list view of related quotes, documents, or any other sidecar modules.

Additional Options

In addition to the steps in this article, Sugar Serve, Sugar Sell, and Enterprise users have the option to view related record information via the Record View dashlet or Focus Drawer dashboard.

The Record View dashlet is available to add to most Sidecar and custom module record views. This dashlet uses a tabbed view to allow users to see records related to the one they are viewing. Additionally, these users can easily view related record information by clicking the Focus icon that appears when hovering over certain links (e.g., a linked account name) across Sidecar modules. The Focus Drawer dashboard opens providing a 360-degree view of the linked record through a set of dashlets.
